From Chaos to Kanban: How We Automated an Event Planning Business

When you think of event planning, you imagine creativity, themes, and execution magic. But behind the scenes, most local event planning businesses still rely on manual processes, phone calls, WhatsApp chats, and scattered notes. This leads to delays, miscommunication, and inefficiencies.
In today’s fast-paced world, even traditional industries like event planning are undergoing digital transformation. For our Business Process Transformation & Intelligent Automation course, our team explored how a small, local event management business could evolve by moving away from manual operations and embracing automation tools.
We created a hypothetical company, PlanPilot, inspired by a real business, to replicate event planning operations and redesign them with a modern, digital-first approach.
Our Goal: Centralize client bookings, vendor coordination, and event tracking into a single automated platform.
AS-IS Process: The Challenges
Our analysis of the existing manual process revealed common gaps:
Booking inefficiencies: scattered calls and notes, no structured CRM.
Vendor coordination issues: individual follow-ups with no visibility.
Tracking limitations: no real-time dashboards for progress.
Feedback gaps: post-event insights are often lost or delayed.
Compliance risks: no audit trail or structured data storage.

Using SIPOC and Value Stream Mapping, we confirmed bottlenecks, redundancies, and compliance issues—all making it clear: transformation was non-negotiable.

TO-BE Process:
We redesigned the workflow using BPM lifecycle stages,
(Design → Model → Execute → Monitor → Optimize) and tools like Pipefy and UiPath.

Key Enhancements:
Structured digital intake forms for client bookings.
Automated booking confirmations & client dashboards.
Vendor pipelines with Kanban boards for SLA tracking.
UiPath bot for bulk invitation card generation.
Real-time status updates & milestone notifications.
Automated feedback collection and dashboards.

Tools & Automation Flow
Pipefy → Core workflow automation (bookings, vendor coordination, dashboards).
UiPath → Automated card generation (Excel → PPT → PDF → Email).
Dashboards → Time-in-phase, lead time, budget tracking, guest estimates.
Result? A centralized, transparent system that cut manual errors, saved hours of repetitive work, and gave clients/vendors real-time visibility.
Project Video Demonstration
We have prepared a short demonstration video showcasing the end-to-end automated event planning platform we designed.
The video walks through the main Pipefy workflow. It visually explains how the system centralizes all operations, right from client onboarding to final event delivery, while eliminating manual bottlenecks, ensuring better communication, and providing full visibility into the process through real-time dashboards and KPI tracking.

Change Management: The Human Side
We realized that digital tools only succeed if people adopt them. So, our strategy included:
Early stakeholder engagement with workshops.
Training and user guides for staff and vendors.
Role redefinition—freeing people from repetitive tasks to focus on creativity.
A feedback loop to ensure continuous improvement.
This people-first approach ensured smoother adoption and higher trust in the system.
Results Achieved
While our project was simulated, the expected outcomes were clear:
✅ Significant time savings.
✅ Error reduction through automation.
✅ Better vendor & client collaboration.
✅ Real-time decision-making via dashboards.
✅ Compliance-ready audit trails.

PlanPilot proved that even a small local business can scale operations with automation, laying the groundwork for industry-wide transformation.
Lessons Learned:
This project taught us:
How BPM frameworks (SIPOC, VSM) reveal deep process inefficiencies.
The power of Pipefy and UiPath in real-world automation.
The importance of balancing tech with human adoption.
That digital transformation is not about replacing people, but empowering them.
Our project showcased how Business Process Transformation + Intelligent Automation can redefine even the most traditional businesses.
Event planning businesses like PlanPilot can now move from scattered manual operations to centralized, compliant, and scalable digital ecosystems.
And beyond events, the same approach can be applied to hospitality, corporate services, or vendor management ecosystems—making it a versatile blueprint for digital transformation.
